Connect Zoom to MeetSmara
Install MeetSmara, connect your Zoom account, use your calendar and hosted meetings, and remove the connection.
MeetSmara is a Windows and macOS desktop app from Language Intelligence. It provides bot-free meeting transcription, live translation and AI meeting notes. Its read-only Zoom connection brings your Zoom Calendar events and the meetings you host into your desktop schedule.
Before you connect
- Install MeetSmara v1.7.13: Windows installer or universal macOS installer. These version-pinned installers are available directly for review; no waiting-list invitation is needed to download them.
- Sign in with your own email address. Open the sign-in link delivered to your inbox, then choose Open MeetSmara to return to the installed app. There is no email/password form. See Sign in and set up.
- Have a Zoom account you are permitted to authorize. Your organization's Zoom administrator may need to approve the app.
- During Marketplace review, connections outside the developer's Zoom account require Zoom's approved testing or distribution access. An authorization restriction is separate from your MeetSmara subscription.
- Calendar connection is optional. Transcription and AI features require active MeetSmara access. Connecting Zoom does not start a trial, purchase a plan or start transcription.
New accounts complete the desktop onboarding flow. A self-service trial starts only when you explicitly select Start my trial and lasts seven days; it is not a permanent free plan. Review access for transcription and AI features must cover the review period.
Connect your Zoom account
- Open the installed MeetSmara app and go to Settings → Calendar.
- In the Zoom section, select Connect. MeetSmara opens Zoom's authorization page in your browser.
- Sign in to the Zoom account you want to connect. Review the requested read-only permissions and authorize MeetSmara.
- After Zoom returns you to the MeetSmara completion page, choose Open MeetSmara if the desktop app does not open automatically.
- Back in Settings → Calendar, check that the expected Zoom account is shown and choose the calendars you want displayed.
Start authorization from the installed app while signed in. This binds the connection to your MeetSmara account. There is currently one connected Zoom account per MeetSmara user; disconnect it before connecting a different account.
Use your Zoom schedule
Open Calendar in the sidebar or review upcoming meetings on Home. Select an event to see its available agenda, attendees, time and meeting link. Select Join to open an available meeting link, or use the meeting's start action when you want MeetSmara to begin capture. Follow participant consent and notice requirements before capturing speech.
The My Zoom meetings calendar shows meetings you host. Accounts without the separate Zoom Calendar service can still use this calendar. An invitation that exists only in Google Calendar or Outlook requires connecting that provider; authorizing Zoom does not import every invitation from those services.
MeetSmara does not create, change or delete your Zoom meetings or calendar events through this connection. It does not download Zoom cloud recordings or Zoom transcripts. Calendar connection never starts transcription automatically, and no MeetSmara bot joins the call.
Disconnect or change accounts
- Open Settings → Calendar in MeetSmara.
- Find the connected Zoom account and select Disconnect. Confirm the action if prompted.
- MeetSmara removes its stored calendar connection and attempts to revoke its Zoom token. Previously created meeting notes and project links remain available until you delete them separately.
- To use another Zoom account, select Connect again and choose that account on Zoom's sign-in page.
You can also remove MeetSmara from your Zoom App Marketplace account's installed-app management page. Use Settings → Calendar → Disconnect in MeetSmara to remove the local service connection record as well. Removing the Zoom connection does not delete your MeetSmara account or historical notes.
Troubleshooting and support
- Zoom says the app is not approved or you cannot authorize it: check your organization's app approval policy. During review, external accounts also need approved testing access. Changing your MeetSmara plan does not bypass Zoom's approval rules.
- The wrong account appears: disconnect it in MeetSmara, then sign in to the intended account on Zoom before reconnecting.
- Calendars or meetings do not load: wait briefly and refresh the calendar list. Zoom can impose temporary account-wide rate limits. Repeated rapid reconnects do not increase its quota.
- The browser does not return to desktop: select Open MeetSmara on the completion page. Verify the current desktop app is installed, then restart connection from Settings if needed.
- You see My Zoom meetings but no other calendar: your account may not have Zoom Calendar enabled. Hosted meetings remain available; connect Google Calendar or Outlook for invitations held there.
